Nutrition Account Management Policies
Account Maintenance
Every student in the district has a food service account. The West Bend School District uses a debit system which means money must
be deposited before students can make purchases for school meals. All students will be issued a meal ID card or PIN. Elementary
students must keep their cards at school, while Silverbrook, Badger, and High School students are responsible for their own cards/PIN.
All student meal accounts are assigned a payor in Skyward Family Access. The payor is the parent/guardian or family contact
responsible for managing the meal account. In most cases, only one payment is needed per account, even if there are multiple students
in the household. Payors can view current meal balances, review student purchase history, make online deposits, as well as set up low
balance email reminders through Skyward Family Access.
Please note that à la carte items are available for purchase in addition to the standard school meal at Badger Middle School and West
Bend High Schools. If a student meal account balance becomes negative, the student will not be permitted to purchase any à la carte
items. This includes extra entrées, individually sold à la carte items, and additional milk purchases, including milk purchased with a
lunch brought from home. If you would like to restrict or limit your student’s purchases, please contact the School Nutrition Office at

All account balances will carry over to the next school year. Parents/guardians of seniors should watch for an email at the end of the
school year if they have a remaining meal account balance and no other students in the district. At that time, they may choose to
receive a refund, donate the funds to a family in need, or apply the balance to a specific family of their choice. All other refund
requests will only be accepted if submitted in writing to the School Nutrition Office.
Co-Parenting Families
Please note, in cases where parents or guardians share custody, both parties are expected to communicate regarding the management of
the student’s meal account. The district is unable to divide or maintain separate accounts for the same student. Co-parenting families
should work together to determine how payments, negative balances, and meal benefits (if applicable) will be handled to ensure the
account remains in good standing.
Payments
With RevTrak, payment options include one-time automatic payments, low-lunch-fund balance replenishment, or setting up recurring
payments. To access RevTrak:
1. Make your payments online through the link on the West Bend School District website using the Families tab > Online
Payments/Web Store.
2. Through Skyward Family Access, click on Fee Management > Make Payment, you will be redirected to the District RevTrak
Web Store.
If it is your first time using RevTrak you will be instructed to create an account. For instructions on how to view your receipts and
other frequently asked questions regarding RevTrak, please visit https://wbsdschools.revtrak.net/FAQ/. If you have trouble logging-in

If you choose to send a check or cash, place it in a deposit envelope with your student to bring to school. Make checks payable to
West Bend Schools and write the student(s) name in the memo section of the check. Elementary students can give the check to their
teacher; Silverbrook, Badger, and High School students can place payments in the deposit box located in the cafeteria. Most meal
accounts are set up as family accounts, meaning one shared balance is used for all students in the household. As a result, only one
check or payment is needed per family. You can also mail a check or cash, with a note that has the student(s) name to:

Checks are preferred since they can be tracked. Checks are processed electronically and may be withdrawn from your account the
same day we receive your payment. Checks returned due to insufficient funds will be charged the current bank fee rate. All deposits
are processed at the School Nutrition Office which is located in the High School. Please allow up to two business days for payments to
arrive at the office for processing.
Negative & Outstanding Balance Procedures
Negative balances may be turned over to a collection agency, as approved by the school board. Per district policy, graduation tickets may be withheld until all outstanding balances on the family account have been paid in full. If your account has a negative balance, you may wish to consider completing a Free or Reduced Price Meal Application. If you qualify, this may help reduce or eliminate meal charges moving forward. Please note, submitting an application does not forgive past-due balances.
Reminder Calls & Communication Procedures
To provide you with the most up-to-date information, the West Bend School District will communicate as follows:
- Cashiers may ask students to take an envelope home if their account is getting low or has a negative balance.
- If you have elected to receive “low balance” email notifications through Skyward Family Access, a daily email will be sent once your family balance falls below $10.00 (positive). You will continue to receive those emails until your balance exceeds that low balance threshold.
- Automated low balance telephone calls are programmed to be sent Sunday through Thursday to accounts which have a balance that falls between $9.00 and $0.01 ($6.00-$0.01 for families receiving reduced meal benefits).
- Negative balance telephone calls are scheduled to go out Sunday through Thursday to student and staff accounts that have reached a balance at or below $0.01.
- A member of the School Nutrition staff will contact your family via email if your account reaches negative $10.00 (-$10.00).
- You may also receive a follow-up email or be mailed a letter including the School Nutrition statement, free/reduced application, and payment envelope. Families with delinquent accounts will be referred to collections in accordance with district policy.

Free & Reduced-Price School Meal Program
Meal prices may be reduced or completely waived for students who qualify under the USDA Free & Reduced Meal Program. All
families are encouraged to submit an application to determine eligibility. Applying is simple and can be done online via Skyward
Family Access or by paper form. All information provided is kept confidential and only used to determine eligibility and help schools
secure funding.
